Checkmyguest is a company specialized in transforming commercial premises into seasonal rental accommodations. It allows property owners to maximize profitability for short-term rentals through optimized distribution of these properties on platforms such as Airbnb and Booking.

Uman is the PMS that contains all the data on Checkmyguest's activity, such as client info, accommodations, billing, equipment, cleaning personnel, etc. In order to ensure a better transition from version 1 to version 2, it was necessary to review some usages such as Billing.


Challenge

The billing process was long and included repetitive actions. The mission was to propose optimization of billing and maintenance of the design system.


Audit

An audit of v.1 of PMS was done to have an overview of the billing pages necessary for v.2. Based on this, some pages were gathered for billing process optimization, while others were removed.

Uman

User in version 1 of PMS has to :

  1. Load the csv of accommodations in PMS

  2. Launch document analysis to know the number of accommodations to be pointed (billed)

  3. See the remaining accommodations to be pointed manually on Slack, using a robot

  4. Verify if the references and amounts are correct using reservation email

  5. Enter the action to be taken in the drop-down list according to the case

  6. Close the pointing of the day


Solution

After the audit and restructuring of the Billing section with information architecture, the Billing process in Version 2 of Uman will go as follows :

  1. Information on the number of accommodations to be pointed will be seen directly in PMS

  2. The form filling will be semi-automatic to eliminate the user's going back and forth

  3. Validation will be easier due to additional information in the interface

1 - File Upload

In the proposed optimization, the user will no longer have to go outside of PMS to view the number of accommodations to be pointed. In the screen below, the user has uploaded the CSV file and there are 12 lines of accommodations to be billed.


2- Result of remaining accommodations

The result of remaining accommodations to be pointed by the user will be directly displayed in PMS thanks to a file analysis API.


3- Pointing Modal

The user will only have to enter the amount and reference of the accommodation. The rest of the information will be automatically completed after the reference entry.
